Overview
As a line manager, you'll receive automatic email notifications at key moments in your team member's Multiverse journey. This article explains what those emails are, when they arrive, and what to do if you think one is missing.
The four emails you'll receive
1. When your team member chooses a programme
When your team member completes their Skills Scan and expresses interest in a Multiverse learning programme, you'll receive an email within a few minutes letting you know. There are two versions:
They've chosen a programme — subject line: "[Name] has chosen a learning programme they'd like to join". This is purely informational: it tells you which programme they've selected. No action is needed from you.
They're interested but unsure — subject line: "[Name] is interested in a learning programme - your support could help". This includes the reason for their uncertainty (if they gave one) and suggests having a conversation with them about whether the programme is right for them.
A few things to know about this email:
It doesn't confirm a place on a programme — it simply keeps you informed of your team member's interest.
If you manage several people who are each exploring programmes, you'll receive a separate email for each person, at the moment they make their choice.
You won't receive an email for a team member who decided a programme wasn't for them.
2. When your team member is confirmed onto a programme
Once your team member is approved to begin their programme, you'll receive a welcome email containing a secure link to set up your account on the Multiverse platform. This gives you access to the Line Manager Dashboard, where you can follow their progress throughout the programme.

3. When the Training Plan needs your signature
The Training Plan is a contract signed by your team member, you (on behalf of your organisation), and Multiverse. It's sent by email approximately two working days before the programme's Flying Start session.
Important: your signing link is only sent after your team member has signed first. If they haven't signed yet, you won't have an email — that's expected, not a fault. Once they sign, your own recipient-specific link arrives automatically (a link forwarded from your team member won't work).

4. Progress review invitations and summaries
Throughout the programme, your team member has a progress review roughly every three months — a live 30-minute meeting between them, you, and their Multiverse coach.
Your team member books the session on behalf of you both, after checking your availability. You don't book it yourself.
Once booked, you'll automatically receive a calendar invitation.
Before each session you'll receive a progress briefing from the coach, and afterwards a summary of what was discussed and agreed.
If a review hasn't been booked as the deadline approaches, you may be copied into reminder emails.

Think an email is missing?
If you were expecting one of the emails above and haven't received it:
Check your spam or junk folder — and any email filtering rules your organisation uses. Corporate email security is the most common cause of missing notifications.
Check the timing — each email has its own trigger. The programme-choice email only sends once your team member formally records their choice; the Training Plan link only sends after your team member has signed; progress review invites only send once your team member books.
Check your details — the emails are sent to the manager contact details your organisation provided. If you've recently changed role or email address, these may need updating.
Contact us — if none of the above explains it, contact the Multiverse Support Team with your name and email address plus your team member's name, and we'll investigate and re-send anything that was missed.
Frequently asked questions
Do I need to approve my team member's programme choice?
The notification email itself doesn't require any action. Your organisation may have its own internal approval process — check with your programme lead or HR team.
Can I opt out of these emails?
These are service notifications that keep you informed about your direct reports, so they can't be switched off individually. If you believe you're receiving them in error (for example, you're not the right manager), contact the Multiverse Support Team.
I got the programme-choice email but no platform welcome email — is something wrong?
Not necessarily. The welcome email is only sent once your team member is confirmed onto the programme, which can happen some time after they first express interest. If they've been confirmed and you still haven't received it, contact the Multiverse Support Team for a new activation link.
Am I supposed to book my team member's progress review?
No — your team member books it for you both through their Multiverse account, after checking your availability. You'll receive a calendar invitation automatically once it's booked.
I'm no longer this person's line manager — what should I do?
Let your team member or their Multiverse coach know so the records can be updated, and future notifications go to the right person.
