A Progress Review is a regular, three-way check-in on your apprentice's progress, between you, the Apprentice and their Multiverse Coach. Under the current process, a Progress Review is a live conversation, held at least every three months. You no longer need to complete a form beforehand.
Important: two processes are running until early 2027.
Multiverse is moving Progress Reviews to a live-meeting format. Apprentices move across in stages, so for now two processes run side by side. If you manage more than one apprentice, you may be using both at the same time. This guide covers the new live-meeting process. To tell which process applies to a particular apprentice, see "How to Tell Which Process an Apprentice Is On" below.
How to Tell Which Process an Apprentice Is On
You may manage Apprentices on either process until early 2027. The table below shows how to tell them apart.
If, for a given apprentice | That apprentice is on | What you do |
You and the apprentice are invited to a live Progress Review meeting, and you complete no form | The new live-meeting process | Follow this guide |
You are asked to complete a Progress Review form online | The previous process | Complete your form as you do now. This guide does not apply to that apprentice |
If you are unsure which process applies to a particular apprentice, contact that apprentice's Coach.
What a Progress Review Is
A Progress Review is a regular, three-way check-in on your apprentice's progress. The three people in the conversation are you, your apprentice and their Coach. Under the new process, a Progress Review is a live meeting held at least every three months. You do not complete a form.
What Has Changed
The Progress Review used to involve a form that you completed online, with a call sometimes happening afterwards. That form has been removed. A Progress Review is now a single live meeting between you, your apprentice and their Coach, held at least every three months.
Why Progress Reviews Matter to You
A Progress Review is the one moment in the quarter where you, your apprentice and their Coach share a clear picture of how things are really going. That is valuable to you, not only to Multiverse. You get an honest read on whether your apprentice is on track, early sight of anything that might slow them down, and a shared set of actions everyone has agreed.
Progress Reviews also make a measurable difference. Apprentices whose managers stay close to their learning are significantly more likely to stay on programme and finish well. Multiverse data points to around a 17 percent lower chance of withdrawal when managers are engaged. The live conversation is the most efficient way to stay close: half an hour, once a quarter, with the admin removed. You leave knowing where things stand and what good looks like before the next review.
How a Progress Review Works
The table below summarises how a Progress Review runs from start to finish.
Detail | What to expect |
How often | At least every three months, across the programme |
How long | Around 30 minutes |
Who attends | You, your apprentice and their Coach |
Who books it | Your apprentice books the session. You receive a calendar invitation |
What it covers | Progress against the training plan, how learning is applied at work, any risks or support needed, and agreed next steps |
Preparation from you | None. The Coach brings a progress summary and leads the discussion |
Afterwards | You receive a written summary of what was discussed and agreed |
What You Need to Do Before the Meeting
You do not need to prepare anything formal. A few days before the session, Multiverse sends you a short briefing. The briefing gives a snapshot of how the apprentice is progressing and what the review will cover. To book the session, your apprentice selects a slot from their Coach's availability. Coordinate with your apprentice so the chosen time also works for you.
What Happens During the Meeting
The Coach leads the conversation using a summary of the apprentice's progress. Together, the three of you review progress against the training plan, discuss how the Apprentice applies their learning at work, raise any risks or support needs, and agree the next steps. Come ready to talk about how the apprentice can apply their learning in their role, and how to protect time for it.
What Happens After the Meeting
After the meeting, you receive a written summary. The summary records what was discussed and what each person agreed to do. You can find this summary on The Platform through a permanent link, so everyone can refer back to the same record.
Seeing Your Apprentice's Progress at Any Time
You do not have to wait for a review to know how your apprentice is doing. Your Manager dashboard on The Platform gives you a live view whenever you want it. From your homepage, you can see the following for each apprentice you manage.
What you can see | Detail |
Key dates | Start date, and expected and booked Gateway dates |
Status | An at-a-glance view of whether the apprentice is on track or needs support |
Projects | The projects the apprentice is working on and has submitted |
Support areas | The areas where the apprentice may need a hand |
Multiverse has recently improved this view. Engagement levels now use a clearer, data-backed model that replaces the previous support factors. This means you and the Coach work from the same picture of how engaged the apprentice is, and can spot anyone who needs support earlier.
How to Access Your Manager Account
If you have not logged in before, you will have received an email to set up your account.
Use the Manager portal at https://platform.multiverse.io/apprentice-manager/home. If you cannot find the email, your apprentice's Coach can help.
