Signing the Training Plan

Updated over a week ago

Overview

The Training Plan (also known as the Commitment Statement or Apprenticeship Agreement) is a mandatory contract between the Apprentice, the Manager (representing the Employer), and Multiverse. This document must be signed at the beginning of the apprenticeship after the application has been accepted.

Signing this document is a core compliance requirement under the Education and Skills Funding Agency (ESFA) funding rules. This guide provides instructions for accessing, troubleshooting, and executing the document via PandaDoc or DocuSign.

When and how will I receive the Training Plan?

The Training Plan is sent to the Apprentice and the Manager approximately two working days before the programme begins, which is called the 'flying start'. Usually, the plan is sent automatically through Pandadoc, unless the employer has made a different request.

Important: Before the Manager can access the Training Plan, the Apprentice must first sign the document. Once the apprentice completes this step, the manager receives a link to review and sign.

What is the Apprenticeship Training Plan?

A mandatory contract between the Apprentice, the Manager, and Multiverse outlining programme expectations.

Compliance: Required by ESFA funding rules. Must be signed by all three parties.

When is the deadline for signing the Training Plan?

Ideally before Flying Start, but the ESFA regulatory deadline is 42 days from the start date.

Timeline: Failure to sign within 42 days risks the Apprentice’s funding eligibility.

Why is the 'View Document' link in the email failing?

This is typically a browser or protocol error. Right-click the button, copy the link, and paste it into a new window.

Technical: Ensure the URL uses http:// if https:// fails to resolve in the local browser.

What if the document fails to load due to a firewall?

Corporate firewalls may block the pandadoc.com domain.

IT Action: Request that the Employer's IT team allowlist PandaDoc to enable access.

Why is the signing box inactive for the Manager?

Managers must use the unique link sent directly to their email address.

Access Control: Do not forward Apprentice links to Managers; they are recipient-specific.

Can an alternative person sign for a Manager on leave?

Yes. Any suitable supervisor within the Employer organisation may sign on behalf of an absent manager.

Signatory: Contact Multiverse Support to re-assign the signature to a new nominee.

Why does the task show as 'Outstanding' after signing?

This occurs when DocuSign is used instead of the automated PandaDoc system.

System Sync: If signed via DocuSign, the manual alert on The Platform homepage can be safely ignored.

What if I have not received the document?

Automated emails are dispatched two working days before Flying Start.

Escalation: If the link is missing 48 hours prior to start, contact Multiverse Support immediately.
