What Is an Apprenticeship Portfolio?
Your apprenticeship portfolio brings together the projects you have completed and the skills you have demonstrated during your apprenticeship. Your portfolio deadline usually falls around your Gateway date. Ask your Coach to confirm the exact deadline for your programme.
How to Access the Portfolio and EPA Tool
Go to your homepage on My Multiverse.
Select Portfolio & EPA from the left-hand navigation tab.
Inside the tool, three areas show your progress:

Project Status | The current status of each project, for example complete or in progress. |
Portfolio Process | The stages of your portfolio journey, from compilation to final submission. |
Project Review | The content of an individual project, with any areas that need action highlighted. |
Note: If your Portfolio page shows only two stages instead of four, you have a simplified process. You must upload your full portfolio as a single file instead of using the advanced editing options. Ask your Coach for guidance.
Which Projects Appear in Your Portfolio
The tool automatically adds each portfolio-eligible project once you complete it. You do not need to copy or upload individual projects yourself.
Not every completed project appears in your portfolio. Three things are tracked separately:
Project completion — the project is marked complete in the Projects area.
Portfolio inclusion — the project is part of your portfolio. Some projects, such as practice or non-assessed tasks, are complete but never appear in your portfolio. This is expected.
KSB evidence — each portfolio project must show sufficient evidence for its linked Knowledge, Skills, and Behaviours (KSBs).
If a completed project is missing from your portfolio and you believe it should be included, ask your Coach to confirm whether it is portfolio-eligible for your programme before contacting Support.
Checking Your KSB Evidence
Before you can export your portfolio, every KSB linked to your projects needs sufficient evidence. Use this checklist:
See which KSBs are incomplete: open Project Review — areas needing action are highlighted against each project.
Where to add evidence: update the relevant project in the Projects area and resubmit. Your portfolio updates automatically.
Accepted evidence formats: Add your evidence as screenshots or pasted text directly within the project submission. The tool does not support uploading files or linking to external documents as evidence.
Confidential employer information: redact or anonymise sensitive data (names, client details, financial figures) before adding it as evidence. If your employer restricts what you can share, tell your Coach — do not skip the KSB.
If a KSB requirement looks wrong: contact your Coach; do not resubmit projects repeatedly to force it to clear.
When Can You Export Your Portfolio?
The Download & Edit Portfolio option appears on the progress bar once every linked KSB has sufficient evidence. You can select Preview Portfolio at any time to review a draft version, regardless of your KSB evidence status.
Note: The export gate is your KSB evidence, not your project count. If the option was available to you (or a colleague) at a different point in the past, that does not mean your evidence is currently sufficient — always check your KSBs first.
Why "Download & Edit Portfolio" May Not Appear Even When Your Projects Show Complete
Your dashboard may show all projects as complete, for example 7 of 7, while one or more linked KSBs still lack sufficient evidence. This is why the option can stay hidden even after you complete every project. Contact your Coach if all your projects show as complete but the option remains unavailable.
What the "0 Completed Projects" Message on Preview Portfolio Means
Some Apprentices see a "0 completed projects" message when they select Preview Portfolio. This message does not delete, remove, or overwrite any of your submitted project work. Preview Portfolio only generates a temporary export for you to review.
If you see this message:
Do not delete or resubmit projects to try to fix it.
Take a screenshot of the message.
Contact Support with your programme name, how many projects your dashboard shows as complete, and the screenshot, so we can check your account directly.
If Your Download or Export Fails
If exporting doesn't work as expected, try these steps:
Stuck on "Preparing Preview" or returned to the Preview screen: wait a few minutes, then retry. Try a different browser or an incognito/private window.
File opens as corrupt or damaged: re-download before editing; if it fails again, try another browser or device.
Missing contents page or project sections: check whether the affected project is portfolio-eligible (see above). If an eligible project is missing, contact Support.
It worked before but fails now: your KSB evidence status may have changed after a project resubmission — check your KSBs first.
Still failing: contact Support with your programme name, a screenshot of the error, and the browser/device you used.
How to Edit and Polish Your Portfolio
You can refine your portfolio in two ways:
Revise an individual project. Go to the Projects area on My Multiverse and update or resubmit the project. Your portfolio updates automatically to reflect the change.
Edit directly in the tool. Use the dedicated sections in the Portfolio & EPA Tool to add or change your overall introduction and conclusion.
Important: You cannot edit a downloaded copy of your portfolio and upload it back in. This applies whether you downloaded it from Preview Portfolio or from Download & Edit Portfolio.
Make all content changes using the two methods above, then download again once you are finished. You can apply final formatting, for example a contents page, to your downloaded copy, because this does not need to feed back into the tool.
Tip: If you already submitted your introduction or conclusion as evidence elsewhere, leave these sections blank in the tool to avoid duplication.
How to Get Coach Feedback Before Submission
Download your completed portfolio and share it with your Coach by email or Coach Chat. Confirm you have met the evidence expectations for all your KSBs first, so your Coach can give targeted feedback.
Understanding the Evidence Locator Table
If you use the four-step portfolio process, the tool generates an evidence locator table instead of a traditional table of contents. This table maps where your KSB evidence appears within your portfolio. Review and update it before final submission so your assessor can find your evidence easily.
How to Submit Your Portfolio
Your submission route depends on your programme. It may be one of:
The Upload Portfolio button in the Portfolio & EPA Tool. This button only becomes active once you download your finalised portfolio.
An external EPAO portal (for example, EPA Pro for some programmes) — your EPAO or Coach will send sign-up instructions by email.
Email submission directly to your EPAO.
Your Coach will confirm which route applies to you. If you're unsure, ask before your Gateway date — do not assume the in-tool button is your route.
If your work device blocks the upload (common with employer IT policies at banks and other regulated firms): contact Support before your deadline. We can confirm an alternative submission route with your EPAO — do not miss your deadline waiting for internal IT approval.
Important: Do not submit until you are fully confident your portfolio is complete and polished. Your End-Point Assessment Organisation (EPAO) assesses the exact version you submit.
Important: Download and save a personal copy of your portfolio for your own records, even after full submission.
When to Contact Support
Contact Support if your Portfolio page behaves unexpectedly, including:
No stages showing on the Portfolio page.
No upload options appearing.
A message stating "You don't have a portfolio to complete."
A "0 completed projects" message on Preview Portfolio.
A download that stalls, fails, or produces a corrupt file after you've tried another browser.
When you contact Support, include your programme name, a screenshot, and what you've already tried.
