Summary
This article explains how to read programme matcher results, how to choose between the programmes shown, how to change programme, and what each application status means. It is written for candidates and Apprentice Managers.
The AI assistant in the Support Hub can explain the general rules. The assistant cannot see the recommendations page of an individual candidate. A member of the Multiverse Support Team can look at the individual results and talk through the options.
Three points matter most.
A fit level is a recommendation. It is not a decision on the application.
The candidate can choose any programme shown on the recommendations page.
A submitted application cannot be edited, so the candidate must choose carefully first.
What the Programme Matcher Shows
The programme matcher turns the candidate's answers about skills, role and goals into programme recommendations. The candidate chooses a programme as part of the application, before the Training Plan. The recommendations page shows three items for each programme.
Item | What it shows |
Role Fit Score | How easily the candidate can use the programme skills in the current role |
Compatibility Rationale | Why the programme suits the role, or why another programme may suit better |
Actionable Insights | Specific steps that close the gaps between the role and the programme requirements |
How to Read the Fit Levels
The Role Fit Score has four levels. The score measures how well the role matches the programme. It does not measure ability.
Fit level | What it means | Can the candidate apply? |
Strong Fit | The current role offers frequent chances to use the programme skills straight away. This is the closest match. | Yes. The candidate can apply now. |
Good Fit | The current role supports the programme well, with a high probability of success. | Yes. The candidate can apply now. |
Partial Fit | The programme matcher found some gaps between the current role and the programme requirements. Actionable Insights show how to close them. | Yes. The candidate commits to the Actionable Insights on the Commitment Page. |
Limited Fit | The programme matcher found notable gaps between the current role and the programme requirements. A Limited Fit is not a rejection. | Yes. The candidate commits to the Actionable Insights on the Commitment Page. |
The candidate does not need to finish the Actionable Insights before applying. The candidate must be able to complete them before the programme starts.
Why a Programme Shows Limited Fit
A Limited Fit has two common causes. The first cause is a gap between the role and the programme requirements. The second cause is that the answers match another programme in the same group more closely.
The incompatibility message on the recommendations page explains which cause applies. If another programme matches better, the candidate can compare both programmes before choosing.
Why a Programme Is Missing
A programme may not appear on the recommendations page for three main reasons.
The employer has not made the programme available to the cohort.
The candidate's answers did not meet a required condition for the programme.
The candidate already knows too much of the programme content. Funding rules do not allow enrolment in this case, and the decision is final.
Approval from HR or a manager does not override a required condition. If prior learning is the reason, the employer may be able to fund the programme commercially instead.
The Multiverse Support Team can explain which reason applies. Some required conditions can be reviewed and some cannot. See Can I Ask for My Application Outcome to Be Reviewed? and Why AI Solutions Builder (AISB) May Not Appear in Your Programme Recommendations.
If No Programmes Appear
Some candidates receive an email asking them to choose a programme, but no programmes appear. The homepage may be blank, or may show "Thanks for completing your application". This can happen for four reasons.
The candidate has already submitted the application.
The application was not successful, for example because of too much prior learning.
The invitation link has expired.
A fault on The Platform is stopping the programmes from loading.
The screen does not show which reason applies. Contact the Multiverse Support Team, who can check the application. Include the email address used to apply, the employer name and a screenshot of the homepage. If the invitation link has expired, the team can send a replacement link.
How to Choose a Programme
The candidate can choose any programme on the recommendations page, whatever the fit level. These steps help the candidate compare the programmes shown.
Important: A submitted application cannot be edited. Compare the programmes carefully before submitting the Commitment Page.
Open the recommendations page and list the programmes shown. Only these programmes are available to the candidate.
Read the fit level for each programme. Strong Fit and Good Fit are the closest matches to the current role.
Read the Compatibility Rationale for each programme. The rationale explains why the programme suits the role, or why another programme may suit better.
Read the Actionable Insights for any Partial Fit or Limited Fit. Confirm that the candidate can complete the actions before the programme starts.
Check the starting point. Funding rules mean a programme must teach significant new skills, so avoid a programme that covers material the candidate already knows well.
Discuss the choice with the Apprentice Manager. The Apprentice Manager can confirm whether the role gives regular chances to use the programme skills.
Choose the programme and complete the Commitment Page.
The Commitment Page
When the candidate chooses a programme, The Platform opens the Commitment Page. The Commitment Page is the final confirmation step before the application is submitted.
On the Commitment Page, the candidate completes three steps.
Review the timeline. Confirm that the programme starts within the next 60 days.
Confirm readiness. Confirm that the candidate is ready to enrol.
Commit to actions. If the fit level includes Actionable Insights, commit to completing them before the programme starts.
How to Change Programme
The route depends on where the candidate is in the application. The table below shows the route for each situation.
Situation | What to do |
The candidate has not submitted the application | Choose a different programme on the recommendations page. Use the same invitation link to return. Progress is saved. |
The candidate has submitted the application | Contact the Multiverse Support Team and ask for a programme switch. The team confirms whether the candidate needs to withdraw and restart with a different invitation link. |
The candidate applied without the programme matcher | Contact the Multiverse Support Team. Do not delete the account unless the team asks. |
The Apprentice has attended Flying Start | Contact the Coach. A change of programme is now a formal transfer that needs approval. |
If the Multiverse Support Team confirms that a restart is needed, check these points first.
Caution: Withdrawing removes the application and all the answers. Withdrawing cannot be undone.
Each invitation link covers a specific group of programmes. Use the link from the original email for the programme wanted.
Restarting shows only the programmes on the invitation link used. Restarting does not add programmes that the employer has not made available.
If no link was sent for the programme wanted, the employer must send a new invitation.
A finalised application cannot be withdrawn from the homepage.
For full steps, see How to Withdraw and Restart Your Multiverse Application.
What the Application Statuses Mean
The status of a submitted application appears on the homepage of The Platform.
Status | What it means | What the candidate can do |
Awaiting Approval | The candidate has submitted the application and the review is in progress. The status can last for some time. | Check the homepage. If the programme start date is close, contact the Multiverse Support Team. |
Approved | Multiverse has approved the application. The employer then makes the final selection from the approved candidates. | Watch for a confirmation email. The email includes the induction form and Flying Start details. |
Rejected | The application is not going ahead as things stand. The reason varies. | Read the reason in the email. Some reasons can be reviewed and some are final. |
Why an Application Stays at Awaiting Approval
An application can stay at Awaiting Approval for one of three reasons.
Multiverse needs more information from the candidate, the Apprentice Manager or the employer.
The employer confirms all applicants together after the internal deadline.
The application is for a degree apprenticeship and needs manual review by a Subject Matter Expert.
Limited Fit and Rejected Are Different
A Limited Fit is a fit level on the recommendations page. A Rejected status is the outcome of a submitted application. A candidate with a Limited Fit can still apply. For more detail, see What happens if my application is rejected, and how do I reapply?
How to Get Personal Advice
The AI assistant can only use the details that the candidate types in the chat. A member of the Multiverse Support Team can look at the candidate's own application. The team can do four things.
Explain the candidate's own results and fit levels.
Talk through the choice between the programmes shown.
Check why no programmes appear, or why an expected programme is missing.
Explain the options if the candidate wants to change programme.
Contact the Multiverse Support Team through the support chat on the Multiverse Support Hub at support.multiverse.io. The candidate does not need to sign in.
Share these details to get a faster answer.
The email address used to apply.
The name of the employer.
The programmes shown on the recommendations page, with the fit level for each.
The programme the candidate is considering.
A short description of the day-to-day role and what the candidate wants from the programme.
A screenshot of the homepage, if something does not appear as expected.
Frequently Asked Questions (FAQs)
Questions | Answers |
Question: I do not know which programme to choose. What should I do? | Answer: Follow the steps in How to Choose a Programme. Compare the fit levels, read each Compatibility Rationale and discuss the choice with the Apprentice Manager. For advice on the candidate's own results, contact the Multiverse Support Team. |
Question: I already have my results. Can someone explain them? | Answer: Yes. The Multiverse Support Team can look at the candidate's own results and talk through the options. Share the programmes shown and the fit level for each. |
Question: I got an email asking me to choose a programme, but no programmes appear. What should I do? | Answer: Contact the Multiverse Support Team with the email address used to apply, the employer name and a screenshot of the homepage. The application may already be submitted or unsuccessful, the link may have expired, or a fault may be stopping the programmes from loading. |
Question: Which programme is my strongest fit? | Answer: A Strong Fit is the closest match to the current role. If no programme shows Strong Fit, Good Fit is the next closest match. The Compatibility Rationale explains each result. |
Question: Does a higher fit level mean I will do better on the programme? | Answer: No. The fit level shows how easily the candidate can use the programme skills in the current role. The fit level is not a measure of ability. |
Question: Can I choose a programme that is not a Strong Fit? | Answer: Yes. The candidate can choose any programme on the recommendations page. For a Partial Fit or Limited Fit, the candidate commits to the Actionable Insights on the Commitment Page. |
Question: Can the Multiverse Support Team change my fit level? | Answer: No. Fit levels come from the candidate's answers about the role and skills, and these answers cannot be changed. If an eligibility answer was wrong, for example working hours or funding details, contact the Multiverse Support Team, who can review it. |
Question: Can I redo the programme matcher? | Answer: The programme matcher is not rerun to change a result. If an eligibility answer was wrong, contact the Multiverse Support Team, who can review it. Answers about the role and skills cannot be changed. If the candidate used the wrong invitation link, see How to Change Programme. |
Question: A programme I expected is not on my recommendations page. Why? | Answer: The employer may not have made the programme available, a required condition may not have been met, or the candidate may already know too much of the content. Approval from HR or a manager does not override a required condition. The Multiverse Support Team can explain which reason applies. |
Question: Can I change programme after submitting my application? | Answer: Yes. Contact the Multiverse Support Team and ask for a programme switch. The team confirms whether the candidate needs to withdraw and restart with a different invitation link. After Flying Start, contact the Coach instead. |
Question: Can I switch between a Level 3 and a Level 4 programme? | Answer: Each level is a separate programme, so a change of level is a change of programme. The candidate can switch only to a programme that the employer has made available. Follow the route in How to Change Programme. |
Question: I withdrew my application to change programme and now no programmes appear. What should I do? | Answer: Restarting shows only the programmes on the invitation link used. Check the original email for the link to the programme wanted, then restart with that link. Restarting does not add programmes that the employer has not made available. If no link was sent for the programme wanted, the employer must send a new invitation. If the link no longer works, contact the Multiverse Support Team with the email address used to apply, the employer name and a screenshot of the homepage. |
Question: I have started my programme and I am on the wrong one. What should I do? | Answer: Contact the Coach. After Flying Start, a change of programme is a formal transfer that needs approval. If the Apprentice has no Coach yet, contact the Multiverse Support Team. |
Question: My application has been at Awaiting Approval for several weeks. Who should I contact? | Answer: Check the status on the homepage of The Platform first. If the status has not changed and the programme start date is close, contact the Multiverse Support Team. Include the email address used to apply and the employer name. |
Question: Does Approved mean I have a place on the programme? | Answer: Approved means Multiverse has approved the application. The employer makes the final selection from the approved candidates. Selected candidates receive a confirmation email. |
Question: Is Limited Fit the same as Rejected? | Answer: No. A Limited Fit is a fit level and the candidate can still apply. A Rejected status is the outcome of a submitted application. |
Question: How can an Apprentice Manager help a candidate choose a programme? | Answer: Review the Compatibility Rationale and Actionable Insights with the candidate. Confirm that the role gives regular chances to use the programme skills. Confirm that the gaps can be closed before Flying Start. |
