How to Reschedule Your Gateway Meeting

How do I reschedule my Gateway meeting, who to contact, my manager can't attend Gateway, change Gateway date, Gateway meeting link not received. Guidance for Apprentices and Apprentice Managers.

Who to Contact to Reschedule a Gateway Meeting

Your Coach is responsible for scheduling your Gateway meeting. To reschedule, contact your Coach as early as possible. This article explains the rescheduling process for Apprentices and Apprentice Managers, and what to do if there is a problem on the day.

The Coach owns all Gateway scheduling. The Apprentice or the Apprentice Manager contacts the Coach directly to request a new date. There is no separate booking team to contact for the meeting itself.

How to Reschedule a Gateway Meeting

Follow these steps to move a Gateway meeting:

  1. Contact the Coach as soon as you know the current date does not work.

  2. Tell the Coach why the meeting needs to move and which dates work instead.

  3. Confirm the new date with the Coach. The Coach updates the booking and sends the new invitation.

Important: Give as much notice as possible. Early requests give the Coach more options and protect your assessment timeline.

What to Do if the Apprentice Manager Cannot Attend

The Apprentice Manager is a required participant in the Gateway meeting. If the Apprentice Manager is away or unavailable, the Apprentice or the Apprentice Manager contacts the Coach to rearrange. Do this as soon as the clash is known. Do not wait until the day of the meeting.

What to Do if the Meeting Link Has Not Arrived

If the meeting link has not arrived, or a participant cannot access the meeting, contact the Coach straight away. If the meeting is due to start and the Coach has not responded, contact the Support Team through the chat on The Platform so the meeting can be recovered or rebooked quickly.

Frequently Asked Questions

Questions

Answers

Question: How much notice is needed to reschedule a Gateway meeting?

Answer: There is no fixed minimum notice period. Contact the Coach as far in advance of the existing booking as possible. Early notice enables effective planning and protects the assessment timeline.

Question: Can an Apprentice Manager request the reschedule instead of the Apprentice?

Answer: Yes. Either the Apprentice or the Apprentice Manager can contact the Coach to request a new Gateway meeting date.

Question: Does rescheduling the Gateway meeting delay the End Point Assessment (EPA)?

Answer: It can. The Gateway meeting triggers the End Point Assessment (EPA) process, so a later meeting can mean a later assessment. Rearrange as early as possible to limit any delay.

Question: What happens if nobody can attend on the day?

Answer: Contact the Coach immediately. The Coach rearranges the meeting and sends a new invitation to all participants.
