How Competency and KSB Tracking Works on The Platform

How the competency tracker on the learning page works: what it shows, how KSBs and competencies become attained, why the expected total can change, and when to contact the Support Team.

What the competency tracker shows

The competency tracker appears at the top of the learning page on The Platform. The tracker shows how many competencies an Apprentice has attained, out of the total expected for the Apprentice's pathway. Clicking into a competency shows the individual Knowledge, Skills and Behaviours (KSBs) it contains and which of them are attained.

A competency is a group of related KSBs. Programmes often have 40 or more KSBs. A flat list is hard to read and single KSBs are not very meaningful in isolation. The Platform bundles KSBs into competencies to give a cleaner summary of overall proficiency.

The tracker is a progress indicator only. The tracker does not affect grades, Off-the-Job (OTJ) hours, Gateway or the End-Point Assessment (EPA).

Which programmes have the competency tracker

The tracker is live for four programmes: AI-Powered Productivity (AI-PP), AI for Business Value (AIBV), Data Fellowship (DF) and Data and Insights for Business Decisions (DIBD). The tracker is being extended to further programmes as pathways are confirmed complete. Advanced programmes are not included.

How a KSB and a competency become attained

KSBs are attached to portfolio projects. A KSB is marked as attained when the Apprentice receives a grade of "met" or "exceeded" on a portfolio project that has that KSB attached.

NOTE: If a KSB is attached to more than one project, the KSB only needs to be attained once.

A competency is attained when every KSB inside it is attained. A competency's KSBs may be spread across several projects. The competency can therefore stay incomplete until the last of those projects is graded. Practice projects do not attain KSBs, even when graded. See the FAQs below.

How the expected total is calculated

The expected total is the number of distinct KSBs attached to all portfolio projects currently on the Apprentice's pathway. This means:

  • A KSB in the apprenticeship standard that is not attached to a project on the pathway will not appear in the tracker.

  • If new projects are added to the pathway, the expected total increases.

What to check if a competency shows as incomplete

If a competency shows as incomplete when projects appear to be finished, check the following, in order:

  1. Check the grade. The project must be graded "met" or "exceeded". A "not yet met" grade does not attain KSBs. Once the project is regraded, the KSBs update.

  2. Check the project type. The project must be a portfolio project. Practice projects are excluded.

  3. Check for multiple projects. Some competencies span several projects. Open the drill-down and check which KSBs are outstanding and which project each belongs to.

If all projects for a competency are graded "met" or "exceeded" and the competency still shows as incomplete, contact the Multiverse Support Team through Atlas on The Platform. Include a screenshot of the competency summary and the KSB drill-down, plus the project name and grade.

Question: Why did the expected total go up when the Apprentice has done nothing wrong?

Answer: On pathways still being built, projects are added over time. Each new project brings its KSBs into the expected total. An Apprentice at 8 of 10 may later see 8 of 14. Nothing has been lost. The attained count is unchanged and the target now reflects the projects on the pathway. No action is needed.

Question: Why is a KSB from a practice project not showing in the tracker?

Answer: Practice projects are excluded from both the attained and expected totals. Their KSB mappings vary between programmes and would make some competencies impossible to complete. There is nothing to fix.

Question: What is a competency, and is it part of the apprenticeship standard?

Answer: A competency is a Multiverse grouping of related KSBs, used for display on The Platform. Competencies are not part of the IfATE standard. The full KSB list is still available inside each competency.

Question: Does the competency tracker affect the EPA or apprenticeship progress?

Answer: No. The tracker is a progress view built from project grades. The EPA assesses the KSBs in the standard, not the competencies shown on The Platform. A competency showing as incomplete does not mean the Apprentice is behind for EPA. The Apprentice does not need to redo any work.

Question: Can an Apprentice Manager see the tracker?

Answer: An Apprentice Manager can see the tracker on the Apprentice's learning page. There is no separate roll-up view across a team in this release.
