Some of your OTJ hours are now auto-logged

The Platform now records some OTJ hours automatically for workshops and learning units. Learn what logs itself, where the hours appear, and what still needs a manual entry.

The Platform now records some Off-the-Job (OTJ) Training hours automatically. This means less time logging and more accurate records, with no extra effort from the Apprentice.

What Logs Automatically

There are two types of activity that The Platform now logs for the Apprentice.

Workshops and delivery sessions

When the Apprentice completes a live session, The Platform logs the scheduled session duration automatically. A confirmation appears on leaving the session. There is nothing to fill in. If the Apprentice attends for less than the full duration, they should edit the entry to show the actual time spent.

Learning units

When the Apprentice submits a learning unit, The Platform prompts them to confirm the hours and minutes spent on it. One tap to confirm and the entry saves. A confirmation message shows the log has been recorded.

Where the Hours Appear

Automatic entries appear in the OTJ log immediately as Confirmed.

  1. Sessions appear as "Delivery session on [date]" under the category "Workshop, bootcamp, or delivery or learning session".

  2. Units appear as "Unit: [unit name]" under "Apprenticeship-related learning".

The Apprentice can edit or delete any automatic entry from the OTJ log, exactly like a manual entry.

What Still Needs a Manual Entry?

Automatic logging only covers sessions and units. All other learning activity still requires a manual entry. This includes self-study, portfolio work, and apprenticeship projects.

Question: Does the Apprentice still need to log OTJ hours manually?

Answer: Yes, for some activities. Sessions and learning units log automatically. Self-study, portfolio work, and other learning activity still require a manual entry.

Question: Why did hours appear in the OTJ log that the Apprentice did not enter?

Answer: The Platform logged them automatically after a completed session or a submitted learning unit. The entry can be checked and edited in the OTJ log.

Question: Why was an onboarding unit not logged automatically?

Answer: Units completed before the Flying Start date do not prompt for OTJ time. This is expected behaviour. Units completed on or after the Flying Start date prompt as normal.
