Guide to Recording Evidence of Learning (EoL) on The Platform

This article explains how you can log Evidence of Learning to ensure you remain compliant with the apprenticeship funding regulations. We will share which activities count so you can stay on track with confidence.

Understanding Evidence of Learning (EoL)

Evidence of Learning (EoL) is an official record demonstrating that you, as the Apprentice, are actively engaging with the apprenticeship curriculum and applied learning opportunities. Evidence of Learning (EoL) tracks skill acquisition over time, allowing the Apprentice, the Coach, and the employer to verify that consistent learning is occurring.

How to Log Evidence of Learning (EoL)

The Apprentice can demonstrate Evidence of Learning (EoL) through three primary mechanisms on The Platform:

  • Attending a Live Session: Workshops and group coaching sessions generate an Evidence of Learning (EoL) record automatically via internal logging systems.

  • Completing a Coaching Survey: A coaching session is officially logged as Evidence of Learning (EoL) only after the Apprentice completes the post-session coaching survey.

  • Submitting a Qualifying Learning Activity: Independent learning activities count as Evidence of Learning (EoL) when The Apprentice logs the activity on The Platform under the correct category.

Eligible and Ineligible Evidence of Learning (EoL) Activities

Activities That Count as Evidence of Learning (EoL)

The following activities are recognised as valid Evidence of Learning (EoL) tokens on The Platform:

  • Flying Start Sessions: Both live and asynchronous Flying Start sessions.

  • Planned Delivery Sessions: Both live and asynchronous scheduled delivery sessions.

  • Optional Delivery Sessions: Live optional sessions, excluding coach office hours.

  • Coaching Sessions: Completed coaching sessions paired with a submitted coaching survey.

  • Apprenticeship Assignments: Official assignments, independent projects, and project submissions.

  • Apprenticeship-Related Learning: Independent study directly relevant to the programme, including module learning, revision, or exam preparation.

  • Portfolio and Assessment Work: Documented work completed toward the final apprenticeship portfolio or specific program assessments.

  • Interactive Learning Events: Workshops, bootcamps, delivery sessions, and completed knowledge quizzes.

Activities That Do Not Count as Evidence of Learning (EoL)

  • Progress Reviews: Synchronous and asynchronous Progress Reviews do not qualify as Evidence of Learning (EoL).

Best Practices for Recording Evidence of Learning (EoL)

The Apprentice can maintain accurate records by building consistent logging habits rather than retroactively entering data. Recommended habits include:

  • Immediate Survey Completion: Fill out coaching surveys immediately following the conclusion of a session.

  • Real-Time Logging: Log qualifying independent learning activities on The Platform as soon as the activity is completed.

  • Category Verification: Cross-check that the selected metadata category on The Platform accurately matches the completed learning activity.

  • Proactive Clarification: Contact The Coach immediately if it is unclear whether a specific activity qualifies.

Frequently Asked Questions (FAQs)

General EoL Policy and Definitions

Questions

Answers

Question: What is the definition of Evidence of Learning (EoL) on The Platform?

Answer: Evidence of Learning (EoL) is a verifiable digital record on The Platform that proves The Apprentice is actively participating in the apprenticeship and executing Applied Learning tasks. Evidence of Learning (EoL) tracks continuous skill development and ensures The Apprentice, The Coach, and the employer have full visibility into program progression.

Question: Why are Progress Reviews excluded from counting as Evidence of Learning (EoL)?

Answer: Progress Reviews do not count as Evidence of Learning (EoL) because Progress Reviews are administrative compliance assessments designed to evaluate past performance rather than introduce or practice new skills. Evidence of Learning (EoL) tokens are strictly reserved for active skill acquisition, direct coaching interaction, and independent project work.

Logging Timeframes and Deadlines

Questions

Answers

Question: Is there a deadline for an Apprentice to log a qualifying independent learning activity on The Platform?

Answer: The Apprentice must log independent learning activities on The Platform as close to the completion date as possible to maintain a consistent learning routine. Delaying the logging of Evidence of Learning (EoL) activities creates inaccurate engagement metrics and makes it difficult for The Coach to provide proactive support.

Question: Can an Apprentice backdate Evidence of Learning (EoL) entries if the learning occurred weeks ago?

Answer: The Apprentice should avoid backdating entries whenever possible, as Evidence of Learning (EoL) is intended to reflect a steady, real-time cadence of learning. If The Apprentice has an extended gap in recorded engagement due to a delay in logging, The Apprentice must consult The Coach to ensure the late entries are accurately mapped to the correct program milestones.

Session Troubleshooting and Verification

Questions

Answers

Question: What should an Apprentice do if an automatically tracked session does not appear as Evidence of Learning (EoL) on The Platform?

Answer: If a live session or planned delivery session does not automatically generate an Evidence of Learning (EoL) token within 48 hours, The Apprentice must notify The Coach. The Apprentice should be prepared to provide the date, time, and title of the session to facilitate manual verification by internal teams.

Question: Why hasn't a completed coaching session appeared in the Evidence of Learning (EoL) tracker for an Apprentice?

Answer: A coaching session will not appear in the Evidence of Learning (EoL) tracker until The Apprentice completes the post-session coaching survey. The Apprentice must submit the coaching survey immediately following the session to trigger the automated Evidence of Learning (EoL) validation rule on The Platform.

Activity Eligibility Details

Questions

Answers

Question: Does independent study, such as reading technical documentation or watching an industry tutorial, count as Evidence of Learning (EoL)?

Answer: Independent study counts as Evidence of Learning (EoL) provided that the activity directly relates to the apprenticeship curriculum and is logged under the Apprenticeship-related learning or Module learning or revision category. The Apprentice must ensure that the independent study directly contributes to the program's learning objectives to qualify.

Question: Do Coach office hours qualify as an eligible Evidence of Learning (EoL) session?

Answer: Coach office hours do not qualify as Evidence of Learning (EoL) because office hours are optional drop-in sessions for general Q&A rather than structured delivery or formal coaching. To generate an Evidence of Learning (EoL) record for coaching, The Apprentice must attend a scheduled 1:1 or group coaching session and submit the corresponding coaching survey.

Need help?

If The Apprentice is unsure whether an activity counts as Evidence of Learning, or is not sure how to record it, The Apprentice should contact The Coach for guidance.
