Your apprenticeship coach is the best resource for confirming this specific deadline for your program, so be sure to communicate with them well in advance.
Understanding the Portfolio & EPA Tool
The Portfolio & EPA Tool is your central hub for compiling all the significant work you've undertaken during your apprenticeship. It's designed to bring your projects together into one cohesive document, allowing you to add personal touches like an introduction and conclusion, incorporate additional evidence, and ultimately prepare your comprehensive portfolio for formal submission.
To access your portfolio, simply click on the "Portfolio & EPA" section located in the navigation tab on the left-hand side of your homepage. Once inside, you'll find key areas providing an overview of your progress:
Project Status: This central area displays the current standing of your individual projects, helping you quickly see what's done and what's still in progress.
Portfolio Process: On the right, you'll see a clear, step-by-step outline—typically four stages—guiding you from initial compilation to final submission.
Project Review: You can click into any individual project to review its content. The tool will automatically highlight specific areas that need your attention or action before you can move forward.
Important Note: If your Portfolio page only shows steps 1-2, it means you'll have a simplified process without the advanced compilation and editing options. In this case, your primary method will be to upload your entire portfolio as a single file, following the specific guidance from your apprenticeship coach.
Building and Refining Your Portfolio Content
As you progress through your apprenticeship and complete various project assignments, they are automatically integrated into your portfolio within the tool. This seamless integration streamlines the initial collection of your work, allowing you to focus on refining its presentation.
Crafting and Exporting Your Portfolio
The tool is designed to allow the export of your final portfolio only once it's truly complete. This completion hinges on whether you've provided sufficient evidence for all the Knowledge, Skills, and Behaviours (KSBs) that are directly aligned with and assessed through your project submissions. Ensure every required KSB is adequately demonstrated to signify your readiness for assessment.
Once all necessary KSB evidence is in place, the "Download & Edit Portfolio" option will become visible on the right-side progress bar, indicating your portfolio is ready for its final review and export. For continuous oversight, you can also use the "Preview portfolio" button at any time to review and download an in-draft version. This is incredibly useful for checking flow, formatting, and overall presentation, and you can export it using your browser's standard download settings.
Editing and Polishing Your Content
You have two primary ways to refine your portfolio:
Revising Individual Projects: For detailed changes to specific projects, navigate back to the "Projects" area on My Multiverse via the left-side navigation. Any updates or resubmissions you make here will automatically reflect in your overall portfolio, maintaining consistency.
Direct Editing within the Tool: The Portfolio & EPA tool itself offers dedicated sections to directly add or modify your overall introduction and conclusion. This allows you to frame your entire body of work with a compelling opening and a reflective summary.
Helpful Tip: If you've already submitted an introduction or conclusion as evidence elsewhere, you can leave these sections blank within the portfolio tool to avoid duplication.
After exporting your final portfolio, it's highly recommended to make any last-minute edits, polish the content for clarity and impact, and then share it with your coach for their invaluable feedback.
Key Considerations for Portfolio Submission
Receiving Coach Feedback
To ensure your portfolio is as robust as possible, seeking feedback from your coach before the official EPA submission is vital. Download your completed portfolio from the tool and share it directly with your coach via email or Coach Chat. Before you do, make sure you've met expectations for all KSBs aligned with your portfolio; this ensures your coach can provide the most targeted and effective guidance.
Understanding the Evidence Locator Table
For apprentices using the four-step portfolio process on My Multiverse, it's important to understand that the tool generates an "evidence locator table" rather than a traditional table of contents. This table serves to map where specific pieces of evidence for your KSBs are located within your portfolio. You have the ability to review and update this table as needed before you submit your final portfolio. This ensures that assessors can easily navigate and find the evidence they need.
Submitting Your Portfolio to the EPAO
Your portfolio's journey culminates with its submission to your End-Point Assessment Organisation (EPAO). This typically occurs at your end-of-program Gateway experience. You'll use the designated "Upload Portfolio" button, which will only become active and visible after you have successfully downloaded your finalised portfolio from the tool. This ensures you're submitting the most current version of your work.
Critical Submission Reminders:
Confirm Finality: Do not submit your portfolio via the tool until you are absolutely confident it is complete, thoroughly reviewed, and polished. This is a critical submission, and your EPAO will assess the version you provide.
Backup Your Work: Whether you've just submitted in step 3 or the platform indicates full submission, it's crucial to download and save a personal copy of your portfolio for your own records. Apprentices are strongly encouraged to retain copies of all important work and documents throughout their programme, as the platform cannot guarantee retention of past submissions once their apprenticeship formally concludes.
