Guidelines for changing employment during an apprenticeship [UK-specific]

Overview

Many apprentices in the past have changed employers without being aware that they must inform Multiverse. This has caused issues and has sometimes led to them withdrawing from the apprenticeship.

You must inform your coach if you are looking to change employers.

Key information required:

  • New employer name

  • Your new work email address (or a personal email address if you have not transferred yet)

  • Last date at current employer and first date at new employer

  • New Manager name/email address and/or a HR contact


We recommend that you inform your new employer of your apprenticeship during the interview process to get an understanding of whether or not they are willing to support it.

If they seem to show willingness to support your apprenticeship then feel free to use the email templates found on this document to communicate the next steps.

Once you have informed your coach of the key information that is set out above, they will need to liaise with internal stakeholders to complete the process from an administrative perspective and liaise with your new employer once the change is confirmed.

Once we have confirmation from your new employer, you are free to continue your apprenticeship and complete it with your new employer!

Frequently Asked Questions

  • “I have already changed employer, can I still continue the apprenticeship?”

You must inform your coach as soon as possible so the compliance team can look into whether it is possible to still continue the apprenticeship.

  • “I am unsure as to how I can bring up the apprenticeship to my new employer, is there anyway you can support this?”

We recommend that you speak to your coach about this, your coach will be able to discuss it with your Line Manager and they can also get regular updates from the Account Executive who will be in contact with the Human Resources (HR) department.

  • “Do I have to continue my apprenticeship as soon as I begin with the new employer?”

We understand that sometimes it can take a while to settle into a new job and so you are able to go on a Break-in-learning (BIL) for up to 12 weeks - beginning 31 days from the last date of employment with your first employer.

  • “How much does my new employer have to pay for my apprenticeship?”

This is calculated by the compliance team who inform the Account Executive. The Account Executive then discusses payment options with the new employer. If you feel like you require this information before the Account Executive contacts the new employer then please contact support to find out the remaining funding.

  • “I am changing employer after gateway, do I still need to inform my new employer or can I sit the End Point Assessment without an employer?”

Please reach out to your coach to confirm if you are able to sit the EPA without an employer.

  • “I have just begun the apprenticeship and I am looking to change employer”

Please inform your coach as you may have to be non-started and then you must re-enrol once you have joined your new employer.

  • “Am I able to continue the apprenticeship without working in England?”

Unfortunately, the new employer must be based in England. If you are working for an international company but out of an office in England then this is completely fine.

  • “I informed my coach that I am changing employer but I have changed my mind and will remain with my current employer”

Please inform your coach and contact support so that we can abandon the process!

  • “Why have I received an email from the government website informing me that I have withdrawn from the apprenticeship?”

This occurs when your first employer stops your record on the digital apprenticeship service, once your new employer adds you back to the Digital Apprenticeship Service (DAS) you may receive another email asking you to confirm that you are continuing the apprenticeship.

If the new employer is not willing to support the apprenticeship then you will be informed by Multiverse about your withdrawal

  • “My new employer is not willing to support my apprenticeship, can I complete it at a later stage?”

If you change employers again at a later stage and they are willing to support the completion of your apprenticeship then you may be able to come back on programme and continue in the future.
