Many of our coaches use Calendly as it makes it easy to book meetings without the back-and-forth of emails. But plans can change, and you may need to reschedule or cancel a session you’ve already booked. Fortunately, Calendly provides simple tools to manage your appointments.
Rescheduling a Calendly Session
Locate Your Confirmation Email
After booking, Calendly sends you a confirmation email with the meeting details.
This email includes options to Reschedule or Cancel.
Click “Reschedule”
Selecting this link will open Calendly’s scheduling page.
You’ll see the host’s current availability, just like when you booked the original session.
Choose a New Time
Pick the new date and time that works for you.
Confirm the reschedule, and you’ll receive an updated confirmation email.
Tip: Your host will automatically be notified of the change—no extra emails needed.
Cancelling a Calendly Session
Find the Cancellation Link
Open your booking confirmation email.
Click the Cancel option provided.
Confirm the Cancellation
Calendly will ask you to confirm that you want to cancel.
Once confirmed, the session will be removed from both your calendar and the host’s.
Add a Note (Optional)
Some hosts allow you to leave a cancellation note. This is a good way to let them know why you can’t make it.
What If You Can’t Find the Email?
Check your spam or promotions folder.
If you created a Calendly account, you can also log in and view all your upcoming events under your Scheduled Events tab.
If you still can’t locate the link, contact the host directly - they can cancel or reschedule on your behalf.
