Logging Off-the-Job (OTJ) Training Hours

Updated yesterday

This guide outlines the mandatory process for recording Off-the-Job (OTJ) Training hours on The Platform. The Apprentice is responsible for maintaining an accurate, real-time log of all qualifying activities to ensure compliance with Department for Education (DfE) standards and to maintain eligibility for Gateway.

Step-by-Step Logging Instructions

Access the OTJ Tracker

The Apprentice must log into The Platform at home.multiverse.io.

  • Navigation: Select the 'Off the Job' tab located in the left-hand navigation menu.

  • Availability: The 'Off the Job' tab becomes active only after the Apprentice's official Flying Start date. Entries cannot be recorded prior to this milestone.

Record Activity Details

For every qualifying OTJ Training session, The Apprentice must provide the following data points:

  • Activity Description: Provide a clear, concise summary of the learning achieved and how it relates to the apprenticeship KSBs (Knowledge, Skills, and Behaviours).

  • Category Selection: Choose the most accurate OTJ Category (e.g., Applied Learning, Coach Session, or Self-Study) from the dropdown menu.

  • Duration: Record the exact time spent on the activity in hours and minutes.

Final Submission

The Apprentice must submit log entries immediately following the completion of an activity. Regular submission ensures that the Apprentice’s progress dashboard remains accurate for both The Coach and the Employer.
