What is the 'Gateway' meeting?

The Gateway meeting is a crucial formal stage in an apprenticeship journey, marking the official transition from the initial training phase to the End-Point Assessment (EPA) period. It takes place after the apprentice has completed all of their on-programme learning and before the EPA can commence.

This meeting typically involves the apprentice, their manager, and their coach. Its primary purpose is to collectively review the apprentice's progress and confirm that they have met all the requirements outlined in the apprenticeship standard and assessment plan, signifying they are ready to undertake the independent End-Point Assessment.

Key purposes of the Gateway meeting include:

  • Confirming Completion of On-Programme Learning: Verifying that the apprentice has successfully completed all mandated training, acquired the required knowledge, skills, and behaviours (KSBs) as set out in the apprenticeship standard, and met the minimum duration for the apprenticeship training (typically a minimum of 12 months).

  • Reviewing and Submitting Gateway Requirements: Checking that the apprentice has fulfilled specific requirements for Gateway, which often include:

    • Submission of a portfolio of evidence or other work products as stipulated in the assessment plan.

    • Completion of a signed Gateway declaration form, agreed upon by all three parties.

  • Assessing Readiness for EPA: Ensuring that the apprentice, employer, and training provider are all confident that the apprentice is occupationally competent and prepared to be assessed independently against the apprenticeship standard.

  • Planning for the EPA: Discussing the upcoming End-Point Assessment process, including the assessment methods, timelines, and any specific logistics. This is also an opportunity for the apprentice to ask questions about the EPA.

  • Formal Handover to the EPAO: Confirming to the End-Point Assessment Organisation (EPAO) that the apprentice has met the Gateway requirements and submitting the necessary documentation, such as the portfolio and signed declaration form, for their review and assessment.
