Apprentice Manager’s Onboarding Guide: Supporting Your Apprentice

The Role of the Apprentice Manager in the Multiverse Journey

To achieve The Mission of closing the opportunity gap, The Apprentice Manager plays a critical role in the onboarding phase. This guide details the specific actions required from The Apprentice Manager to ensure The Apprentice is compliant and ready for Applied Learning.

1. Confirming Support and Role Fit

During the initial application phase, Multiverse contacts The Apprentice Manager to validate that The Apprentice has the necessary support and that their day-to-day role aligns with the digital qualification.

  • Action: Respond to the initial support request promptly.

  • Timeline: Responding promptly helps ensure the Flying Start date for The Apprentice can be confirmed on schedule.

2. Executing the Training Plan (Signature Chain)

The Training Plan is a legal requirement for apprenticeship funding. The Apprentice Manager must sign this document to authorise the enrolment.

The Sequential Signing Rule

  • Condition: The Apprentice must sign the Training Plan first.

  • Outcome: The Apprentice Manager will only receive a signature link via email after The Apprentice has submitted their digital signature.

  • Timeline: Email delivery typically occurs two working days before the Flying Start date.

Signing Platforms (PandaDoc vs. DocuSign)

  • PandaDoc (Standard): This is an automated system. The Apprentice Manager will receive an email notification once it is their turn to sign. Automated reminders are sent every two days until complete.

  • DocuSign (Client Specific): Used by approximately 10% of employers. This is a manual process managed by a dedicated team and may take longer to process than PandaDoc.

Manager Changes

If The Apprentice Manager for an Apprentice changes at any point during onboarding, the Training Plan is automatically voided and reissued.

Requirement: Both The Apprentice and the new Apprentice Manager must sign the new version, even if the previous manager had already signed.

3. Supporting Pre-Enrolment Tasks

While The Apprentice Manager does not physically complete the Induction Form or Onboarding Modules, they must ensure The Apprentice has the allocated time to do so.

  • Expectation: Both the Induction Form and Onboarding Modules must be finished before The Apprentice attends Flying Start.

  • Impact: Failure to complete these parallel tasks will prevent The Apprentice from gaining access to Atlas (the AI coach and learning hub).

4. The Launch Meeting

After Flying Start, The Apprentice Manager will be invited to a Launch Meeting alongside The Apprentice and their assigned Launch Coach.

  • Action: Attend the scheduled Launch Meeting in full.

  • Purpose: This is a formal, scheduled session to align on learning objectives and off-the-job training requirements for the duration of the Applied Learning journey.

Frequently Asked Questions (FAQs)

Questions

Answers

Question: I haven’t received the link to sign the Training Plan. Where is it?

Answer: The signature process is strictly sequential. The Apprentice Manager will not receive a link until The Apprentice has signed. The Apprentice Manager should ask The Apprentice to confirm their signature is complete and then check junk/spam folders for a notification from PandaDoc or DocuSign.

Question: Why was I sent a second Training Plan to sign?

Answer: Any change to the manager record on The Platform triggers an automatic reissue of the Training Plan to ensure compliance. Both The Apprentice and The Apprentice Manager must sign the latest version sent, regardless of previous signatures.

Question: I have been told I have access to a Manager Hub, but I cannot see my Apprentice.

Answer: Manager Hub access is linked to The Apprentice being confirmed in a cohort and a Launch Coach being assigned. If The Apprentice has completed Flying Start but the dashboard is empty, contact the Multiverse Support Team with the name and email of The Apprentice to verify the account linkage.

Question: Does The Apprentice need to sign before they can start learning?

Answer: The apprenticeship is not considered compliant until the Training Plan is signed by both The Apprentice and The Apprentice Manager. Both signatures should be captured before the Flying Start date to ensure full platform access.
