What is PandaDoc?

This article explains how the Apprentice and Apprentice Manager receive, view and sign Training Plans and Apprenticeship Agreements in PandaDoc. It covers safe senders, IT allow-lists and what to do when documents do not arrive.

PandaDoc is a cloud-based document management tool. It allows the Apprentice, the Employer and the Multiverse Coach to sign required documentation and contractual agreements. PandaDoc is E-SIGN, EUTA, HIPAA and GDPR compliant and SOC 2 certified. More information about PandaDoc security is available here.

Multiverse uses PandaDoc to send Training Plans and Apprenticeship Agreements. All parties must sign these documents as part of the Multiverse partnership. These documents are required under ESFA funding rules. All parties must complete them within 42 days of the apprenticeship start date.

When do Apprentices need access to PandaDoc?

The Apprentice and the Apprentice Manager must be able to access and use PandaDoc two working days before their Flying Start. This ensures all documentation is complete within the 42-day window.

How to make sure recipients receive documents

Recipients should mark the following email addresses as safe senders. This helps make sure PandaDoc emails reach the inbox and are not blocked.

How to make sure recipients can view and sign documents

To view and sign documents in the PandaDoc web app, the recipient should add the following third-party domains to their list of trusted websites:

What to do when documents do not arrive

If the Apprentice or the Apprentice Manager has not received a PandaDoc email, work through the following steps.

  1. Check the spam or junk folder. PandaDoc emails are sometimes filtered there on first delivery.

  2. Mark the PandaDoc addresses above as safe senders, then ask the sender to resend.

  3. Confirm the email address held by Multiverse is correct. A single wrong character stops delivery.

  4. Ask the IT team to allow the PandaDoc domains and IP addresses listed above.

  5. Contact Multiverse Support if the document still does not arrive. Support can resend the document or arrange an alternative.

Note: Some Employers sign the Training Plan through DocuSign rather than PandaDoc. In those cases, the PandaDoc steps above do not apply.

What data does PandaDoc hold?

  • Apprentice name

  • Apprentice date of birth

  • Training schedule

  • Training provider policies

  • Agreements to confirm eligibility for ESFA funding

  • End Point Assessment organisation details
